Targeted for late 2026, this isn't just a fancy version of voicemail; it’s an AI assistant designed to act as your digital front desk, ensuring your workflow stays steady while your callers get the attention they need.

Moving beyond the digital answering machine

The core idea behind intelligent call delegation is context. Traditional voicemail is a one-way street—the caller speaks, you listen later, and then the game of 'phone tag' begins. With this new feature, the AI assistant answers on your behalf and actually interacts with the caller.

It can identify who is calling and why, then give you the choice to jump in if it’s truly urgent or stay focused if it’s something that can wait. The real kicker? If you’re busy, the AI can coordinate a follow-up time right then and there using Microsoft Bookings. It’s a seamless way to keep the momentum going without leaving anyone hanging.

How this looks in the real world

To get a feel for how this might change your workday, let’s look at a few practical scenarios:

The Workshop Facilitator:

Imagine you are mid-presentation or facilitating a 3grow training session. An important client calls. Instead of the call just bouncing to voicemail, the AI explains you are currently in a session and offers to book a 15-minute catch-up slot for later that afternoon based on your actual availability.

Focus Time Protection:

If you’ve blocked out two hours for 'Deep Work' in your calendar, you can set the AI to filter calls. It might only notify you if the caller mentions a specific 'urgent' project name, otherwise quietly handling the admin in the background.

Account Management:

While you’re in a face-to-face customer meeting, the AI can inform other callers exactly when you’ll be free. This prevents the frustration of callers feeling ignored and ensures your calendar is filled with productive follow-ups rather than a pile of 'please call me back' messages.

Executive Support:

The AI can act as a first line of defence for busy executives, handling routine enquiries and only escalating complex queries to a human assistant or the executive themselves when necessary.

Cautions and considerations

While this sounds like a dream for productivity, it’s not a 'set and forget' tool. There are some practicalities to keep in mind before you let the AI take the wheel. First, privacy is paramount. You’ll need to ensure your organisation’s recording and data policies are up to scratch, as callers will be interacting with an AI system that processes their speech.

Then there’s the 'human factor'. Some clients might still prefer the old-school approach. You’ll need to consider how your brand represents itself through an AI interface. Most importantly, this system relies heavily on the accuracy of your Microsoft Bookings and Outlook calendars. If you forget to block out a personal appointment or a lunch break, the AI won't know any better and might book a client right over the top of it.

Practical preparation for 2026

Since this feature is targeted for a November 2026 release, you have plenty of time to get your house in order. To make use of intelligent call delegation, you will need to be running Teams Phone and have the relevant Copilot licensing in place.

The best way to prepare right now is to start mastering Microsoft Bookings.
